Adults register and manage their own athletes
This registration feature is for parents and legal guardians age 18 or older. Sign in with your confirmed email, join your team and obtain team approval, then register your athlete from Account → Athletes. You supply the information yourself. Do not ask a child to create or use your account. An athlete profile is a record managed by adults, not a child login.
By checking the registration authorization, you confirm that you are the adult parent or legal guardian, have authority to provide the information, and authorize the team use described here. We automatically link the profile to your account and record the notice version and time. This records your declaration; it is not identity verification, an AI assessment, or a verified-parent badge. No paid reviewer is required.
What we collect and who can see it
Registration collects a display name, birth year, team sport and optional position, plus your account relationship and authorization receipt. Use a first name or team nickname. Do not enter a full birth date, home address, government ID, medical details or school location. Approved team members, including coaches, managers, parents and any existing player members, can see roster details. Scouts and the public cannot see the roster.
Coaches can maintain linked athletic development records. Family access depends on the linked relationship and approved team membership. Private athlete uploads are restricted by the application’s coach/family permissions. Team chat and other team-wide content are shared with approved members; avoid sensitive information there. Registration does not create a scout card, permit targeted advertising, sell information or authorize unrelated marketing. Do not use this parent-managed registration to enable a separate child account.
Supabase provides account authentication and team-record storage. Sites and Cloudflare provide website hosting, database and private file storage. Resend and browser/device push services deliver enabled notifications. Notification settings remain under your control. These providers process information needed for their functions. Payments are not enabled by registering.
Separate choices for new features
Registration is not permission to broadcast or record your child, disclose files to scouts, use an athlete’s identity in sponsorships, or send private records to an AI service. Read the sharing notice and AI notice for those optional features. Broadcast footage can reveal faces, voices, jerseys and locations. The broadcaster and organizer must obtain required event and guardian permissions; Field and Ice remains responsible for its own applicable privacy duties. Coaches must review proposed video statistics and jersey mappings before publishing them. A jersey number alone does not verify identity. Use Support to report an incorrect player assignment or unauthorized recording.
Review, correct and remove
Review your roster and permitted athlete records after signing in. Ask your coach to correct roster details or contact us if you cannot obtain a correction. In Account → Athletes, the registering parent can choose Remove registration and athlete records, then confirm. This deletes the athlete profile, linked athlete records, relationships, consent/scout records and upload metadata. File bytes are queued for deletion and cannot be retrieved through the application after metadata removal.
Keep the profile only while you need it for team participation. You can remove it at any time. Removing registration does not erase general team messages, content not linked to that athlete, or copies other members already saved. Contact us to request review of those records, dispute a guardian relationship, restrict further use, or report an account used by a child. Account export and account deletion are separate controls; deleting an account alone may leave team-maintained records, so remove the athlete registration first where appropriate.
We retain the registration receipt with the profile until it is removed; deletion cascades to that receipt. Security and service records may have separate purposes. This feature does not claim that production backups or automatic age-based deletion have been activated. We will restrict information subject to a legal preservation obligation and address applicable access and deletion rights.
Contact and scope
Operator: Field and Ice LLC, Michigan. Privacy and support: Contact@fieldandice.com. Signed-in users may also use Account → Support → Privacy. Identify the team and request; do not email identity documents unless a secure, necessary process is separately arranged.
This notice applies to information supplied by an adult through this parent-managed feature. It does not activate direct collection from children, scout disclosure, payment processing or any optional future service on the broader policy page. Required separate consent must be obtained before any future child-facing or scouting feature is enabled. Material changes to this registration use require a new notice and authorization as applicable. This authorization does not waive your or your child’s legal rights.
Field and Ice LLC provides software tools. To the fullest extent permitted by law, it does not assume responsibility for independently operated teams or events, user decisions or submissions, third-party conduct, or outcomes from using a feature. Users and organizations remain responsible for the activities, permissions and decisions they control. The warranty exclusions, limits on damages and qualifying adult-user indemnity in the service terms apply when validly agreed, subject to all exceptions stated there.
This is not an unlimited release: nothing in this document excuses Field and Ice’s own fraud, willful misconduct, gross negligence or nonwaivable obligations, removes mandatory consumer or privacy remedies, or waives a child’s rights. Consent to data processing is separate from agreement to contractual terms. Neither this notice nor a user’s agreement changes obligations imposed by law or by a payment provider.
Payments do not expand parental consent
Team billing, sponsorships and any future broadcasting/statistics plan are separate from privacy and sharing choices. No purchase authorizes recording, AI analysis, scout publication or use of an athlete’s identity in advertising. Paid analysis is not available merely because a plan was discussed; current availability and terms must be disclosed before purchase.
Buying a subscription or sponsorship does not authorize recording, AI analysis, public athlete-card sharing, recruitment access or use of a child’s likeness in advertising. Those permissions remain separate. Watching an authorized game has no Field and Ice viewing fee. Coaches must review and approve suggested statistics before publication to permitted athlete records. The paid bundle and automatic analysis are not currently launched.
Family dues and billing privacy
Payment is a separate choice. Registering an athlete, accepting a team invitation, receiving an invoice or reading a policy does not authorize a charge, automatic payment, scout sharing, recording or AI analysis.
The identified team or organization sets its family dues, service period, due dates and refund policy. Only an authorized adult can issue invoices on its behalf. An invoice does not make you responsible for another person’s debt. A separately agreed automatic-payment authorization is required for recurring debits; invoice reminders are not that authorization.
Family billing is private to the payer and authorized billing staff. It is not shared with other families, scouts or advertisers, or used as a recruiting statistic. When enabled, overdue reminders are scheduled no more often than every two days, starting 48 hours after the due-date deadline. Payment in progress, a recorded dispute, arrangement or administrative pause suspends reminders; paid, voided and uncollectible invoices stop them. Delivery and bank settlement can be delayed. No late fee is authorized by a reminder or this notice; any lawful fee needs its own prior disclosure and agreement.
Team billing and paid broadcasting/statistics still require provider setup and release verification. Earlier development prices are not current purchase offers. Any future software plan must state its actual price, term, limits, renewal and refund policy before purchase. Existing accepted orders retain their original terms. For newly approved invoices, Field & Ice deducts 2% from the team or organization proceeds in addition to Stripe’s actual fees. Existing approved invoices keep their original fee terms.
