Optional athlete-card sharing notice · athlete-scout-sharing-2026-10-12 · October 12, 2026
Scout publication is awaiting platform activation. You can prepare a private athlete profile and select items for a preview now. This notice does not activate publication. Reading it, registering an athlete, uploading a file or saving a draft does not authorize scout access.
Choose specific card details and files
A linked parent or legal guardian manages each athlete’s card separately. The optional scout card may contain the following items that the parent has selected and reviewed:
A display name or alias, sport, position, and written summary of athletic strengths.
One selected profile photo.
Available official season statistics, including supported skater or goalie statistics.
Selected individual subject and grade entries.
Selected academic report-card files in PDF or supported image format.
Selected highlight videos or other supported highlight files.
Photos, statistics, grade entries and attached files start unselected for scout sharing. Uploading a file adds it to the private athlete workspace. You must select it for the card and explicitly publish before approved scouts can access it. A published card may also show when it was last updated.
The scout card does not include the family’s contact details, private team conversations, full athlete record, schedules, school registration information, USA Hockey confirmation number, account credentials, or documents that were not selected. The contents of a selected image, PDF or video are shared as uploaded, so inspect the complete file before selecting it.
Before sharing a report card or other file, remove student identification numbers, addresses, school contact details, information about other children, and anything you do not intend scouts to receive. Use a first name or alias, and keep contact details, birth dates, school names and schedules out of the written summary. Upload only material you have authority to share.
Approved scouts, through their accounts
When the feature is activated, publication requires the applicable guardian-verification process, your current sharing choices, and your affirmative agreement to this version of the sharing notice. Existing permission for an earlier, smaller scout card does not authorize the additional photos, academic records or files.
Approved, signed-in scouts may search published athlete cards and view the selected details and files. The application checks current access when a card or file is requested. This is not permission to publish an athlete’s private record on the open web. An approved scout account does not give access to a private team workspace.
Scouts may bookmark a published card for later review. A bookmark does not grant new access or override a later withdrawal. Scouts can also save copies of the files and information they are permitted to view. They must use it only for their approved scouting purpose and follow the scout rules. Approval does not represent a background check, endorsement or guarantee of a scout’s conduct.
Private profile tools remain available without optional scout sharing. This choice does not authorize use of an athlete’s identity, images, grades or videos in advertising.
Review, pause or revoke sharing
Use the Preview tab to inspect the saved selection. Previewing does not publish the card. Saving changes pauses any currently published version until you review and explicitly publish the updated card.
Use Hide scout card now to stop future scout access while retaining your private profile and files. Use Withdraw guardian consent and hide card to withdraw the applicable consent and hide the card. Removing a file stops further application access to that file and queues its stored copy for deletion.
Hiding, withdrawing consent or deleting a file cannot retrieve copies already downloaded, photographed or otherwise saved by a recipient. Report inappropriate use or request assistance using the contact below. A change to one athlete’s card does not change another athlete’s sharing choices.
Statistics and recruiting decisions
Where video analysis is enabled, suggested statistics require coach review and may still contain errors after approval. Review your athlete’s selected statistics and jersey assignment before sharing. Report corrections through the team and Support. Field and Ice does not certify the accuracy of submitted athletic or academic records or guarantee recruiting, scholarship or selection outcomes. Bookmarking is not an offer or expression of commitment.
Questions, corrections and privacy requests
Open Account → Support and choose Privacy, or email Contact@fieldandice.com. Identify the affected feature and requested action without sending passwords, identity documents or unnecessary child information.
The website policies and guardian notice and parent registration notice continue to explain the wider service and private registration workflow. This additional notice describes the optional expanded card only. It does not change the currently inactive publication status or create a direct child account.
Field and Ice LLC provides software tools. To the fullest extent permitted by law, it does not assume responsibility for independently operated teams or events, user decisions or submissions, third-party conduct, or outcomes from using a feature. Users and organizations remain responsible for the activities, permissions and decisions they control. The warranty exclusions, limits on damages and qualifying adult-user indemnity in the service terms apply when validly agreed, subject to all exceptions stated there.
This is not an unlimited release: nothing in this document excuses Field and Ice’s own fraud, willful misconduct, gross negligence or nonwaivable obligations, removes mandatory consumer or privacy remedies, or waives a child’s rights. Consent to data processing is separate from agreement to contractual terms. Neither this notice nor a user’s agreement changes obligations imposed by law or by a payment provider.
Responsibility and feature coverage reviewed October 19, 2026. Previous notice. These updates do not retrospectively expand a prior consent or acceptance.
Subscriptions, sponsors and approved statistics
The forthcoming US $49.99 monthly per-team streaming and stats package and team sponsorship payments are separate from optional athlete sharing. Read the payment terms. Payment, a team subscription, sponsor status or a scout bookmark does not authorize access to a private athlete record, a child’s image, academic information or a recording.
Video-derived statistics require coach review and approval before they are applied to athlete records. Coach approval does not itself publish a scout card or override the guardian’s selection and sharing choices. Such statistics must be distinguished from official league results. This notice does not add a new category to your existing sharing permission or activate the automatic analysis engine. Watching authorized games has no Field and Ice viewing fee; access restrictions still apply.
Payment clarification published October 19, 2026. Previous consents and accepted orders are preserved; no new financial or data-use authorization is inferred.
Family billing and review clarification
October 20, 2026: the forthcoming monthly family invoicing service is separate from streaming/stat access and sponsorship. Its selected launch software price is US $1,000 per team per 12-month term, plus applicable disclosed taxes and separate Stripe charges. It is not currently available for live purchase. The family dues terms describe due dates, private two-day overdue reminders, required fee disclosures and authorization. Late fees remain disabled until an explicit lawful policy is agreed; reminders do not add penalties by themselves.
Private family payment information must not appear in athlete cards, recruiting search, advertising targeting or video-analysis inputs. Neither a sponsor nor another family receives access to a family's balance. A coach or team manager may review and approve a broadcast stat package; one authorized approval is sufficient. That approval does not grant scout sharing permission or certify an unseen event. Existing consents, privacy rights and nonwaivable obligations continue to apply.
October 20 update: previous document. Publication alone does not change an existing agreement.
