AI features & your information

Feature notice · mindset-ai-2026-10-12 · October 12, 2026

AI features work only when the required service and privacy settings are configured. The app shows availability for your account. Written reset exercises, the existing drill library, and outbound article links do not require an AI request.

Ask Field & Ice · assistant-2026-10-26

Ask Field & Ice answers product questions using maintained Field & Ice guidance and helps prepare supported team actions. For an AI answer, we send OpenAI your request, up to two recent question-and-answer exchanges, role, sport, time zone, current date, permitted navigation options and product guidance. A pseudonymous account identifier supports abuse prevention. The server replaces recognized roster names with temporary athlete tokens before provider processing and rejects detected phone numbers, email addresses, addresses and links. These filters are not perfect: do not enter confidential, medical, financial, identifying or other sensitive information.

The assistant does not send the roster, saved scout-card contents, private team chat, grades, uploaded files or billing balances to the AI provider. When you request advice on an accessible athlete card, Field & Ice checks your permissions and evaluates the saved card within the application; that review is not sent to OpenAI. A card review does not edit or publish a card, rate ability, certify statistics or predict recruitment.

Questions and answers are held in the current assistant screen for follow-ups, rather than stored as a team conversation. Request IDs, pseudonymous account IDs and timestamps are kept for rate limiting; records older than 24 hours are removed when subsequent assistant requests run. Attendance previews contain event references, selected response and dates, expire after ten minutes, and are removed after their retention window when later previews are created. Confirmed attendance is stored as ordinary team attendance. Provider processing and retention are separate from clearing the screen. Requests use the provider’s response-storage-off setting; this is not a promise of zero retention.

Only your explicit confirmation saves a prepared attendance change. The assistant cannot itself refund a payment, cancel a subscription, delete a message, publish a scout card or change account permissions. It may explain or open the relevant controls. Review answers and the actual saved result; do not rely on the assistant for emergencies or professional advice.

Athlete mental-game check-ins

This optional AI tool helps with everyday sports reflection: nerves, confidence, mistakes, focus, motivation, and manageable goals. It is not a therapist, doctor, emergency service, or a source of diagnosis or treatment. AI suggestions may be inaccurate or unsuitable. You can stop, skip a question, or ask a trusted person for support at any time.

When you choose to send a check-in, Field & Ice sends the conversation you enter and the selected sport to OpenAI to generate a response. Athlete names, team names, profile images, school records, statistics, and registration numbers are not automatically included. Please do not enter names, contact information, school or home locations, private medical information, or other identifying details.

Field & Ice does not write check-in messages or replies to its account, team, athlete-card, advertising, or application-log records. The conversation is held on the current screen and clears when you leave it or put the app in the background. Clearing the screen does not undo an AI request already sent.

AI check-ins require verified family access and the current guardian and youth-release requirements. Athlete check-ins also remain disabled unless approved Zero Data Retention is confirmed for the OpenAI project. Sending a request with storage turned off does not itself establish that provider setting. OpenAI’s applicable data controls and their stated exceptions govern provider processing; see OpenAI’s data-control documentation.

Saving a private goal is a separate choice

Only a goal you enter or select and then explicitly choose to save is stored for the selected athlete and sport. Under the current permissions, that goal is visible only to the account that saved it. The check-in conversation, AI response, and article recommendations are not attached.

Coach drill designer

The designer sends a general practice goal, sport, age group, skill level, player count, available space, equipment, and duration to OpenAI. Use team-level information without identifying individual athletes. AI drills are drafts for a coach to review for the team, facilities, equipment, and safe supervision. They are not official governing-body guidance, individualized medical advice, or a guarantee of results.

Generated coach drafts can be reviewed and saved for up to 24 hours. Expired drafts are unavailable and queued for cleanup. A drill explicitly saved to a team library becomes a team practice record with the team’s access controls. It is not added to the public drill catalogue.

Coach commands and video statistics

Scheduling assistance can misread dates, time zones, recurrence or intent. Review proposed changes and verify the resulting schedule. Where a validated video analysis engine is enabled, footage and roster identifiers/jersey mappings are used to propose a stat package. Authorized coaches must check the evidence, correct errors and approve the package before it is applied to player records. No guarantee is made that every goal, assist, shot, save, minute played or other supported statistic will be detected or correctly assigned. The engine requires a separate activation review and provider/privacy disclosures; this notice does not activate it. Do not rely on AI output alone for safety, medical, eligibility or recruiting decisions.

Service records and limits

To control usage and duplicate requests, Field & Ice records a request identifier, a one-way account identifier, team identifier, feature, timestamps, and processing status. Check-in text and replies are not included in those records. Coach requests also have a request fingerprint and temporary drill output for review and retry. Expired records are removed by the existing maintenance process and when new AI requests are handled.

Articles and human help

Article recommendations use a reviewed list of outbound links. The AI selects resource identifiers from that list; it does not conduct a live internet search with your check-in. Articles open on their publisher’s website, which has its own privacy practices. Field & Ice does not claim publisher endorsement of its AI suggestions.

If you feel unsafe, overwhelmed, or worried about harming yourself or another person, contact a safe, trusted adult. If someone at home or on your team is involved in the problem, choose another safe adult. This app is not monitored for emergencies and cannot summon help. For immediate danger, contact local emergency services. In the United States and its territories, call or text 988, or visit 988 Lifeline. Outside the U.S., use a local crisis service.

You can report an issue through the feature’s feedback form or Account → Support. A report includes only information you choose to submit; your check-in is not attached automatically. Support is not an emergency service.

Field and Ice’s role and responsibility limits

Field and Ice LLC provides software tools. To the fullest extent permitted by law, it does not assume responsibility for independently operated teams or events, user decisions or submissions, third-party conduct, or outcomes from using a feature. Users and organizations remain responsible for the activities, permissions and decisions they control. The warranty exclusions, limits on damages and qualifying adult-user indemnity in the service terms apply when validly agreed, subject to all exceptions stated there.

This is not an unlimited release: nothing in this document excuses Field and Ice’s own fraud, willful misconduct, gross negligence or nonwaivable obligations, removes mandatory consumer or privacy remedies, or waives a child’s rights. Consent to data processing is separate from agreement to contractual terms. Neither this notice nor a user’s agreement changes obligations imposed by law or by a payment provider.

Paid video statistics and review

Team billing, sponsorships and any future broadcasting/statistics plan are separate from privacy and sharing choices. No purchase authorizes recording, AI analysis, scout publication or use of an athlete’s identity in advertising. Paid analysis is not available merely because a plan was discussed; current availability and terms must be disclosed before purchase.

Before activation, the analysis provider, supported sports/statistics, input data, retention and any material usage limits must be disclosed. Paying does not authorize additional uses of athlete data, relax access rules, or bypass coach or team manager review. Suggested statistics must be checked against footage and the roster, corrected if necessary, and approved by an authorized coach or team manager before reaching player cards. Unseen actions and uncertain jersey matches must not be represented as confirmed results. Accuracy, completeness and instant processing are not guaranteed; this does not remove remedies for failure to provide a purchased service.

Family dues and billing privacy

Payment is a separate choice. Registering an athlete, accepting a team invitation, receiving an invoice or reading a policy does not authorize a charge, automatic payment, scout sharing, recording or AI analysis.

The identified team or organization sets its family dues, service period, due dates and refund policy. Only an authorized adult can issue invoices on its behalf. An invoice does not make you responsible for another person’s debt. A separately agreed automatic-payment authorization is required for recurring debits; invoice reminders are not that authorization.

Family billing is private to the payer and authorized billing staff. It is not shared with other families, scouts or advertisers, or used as a recruiting statistic. When enabled, overdue reminders are scheduled no more often than every two days, starting 48 hours after the due-date deadline. Payment in progress, a recorded dispute, arrangement or administrative pause suspends reminders; paid, voided and uncollectible invoices stop them. Delivery and bank settlement can be delayed. No late fee is authorized by a reminder or this notice; any lawful fee needs its own prior disclosure and agreement.

Team billing and paid broadcasting/statistics still require provider setup and release verification. Earlier development prices are not current purchase offers. Any future software plan must state its actual price, term, limits, renewal and refund policy before purchase. Existing accepted orders retain their original terms. The separate 3% sponsorship fee does not apply to family dues. See Payments, cancellations & refunds.

Notice and permission versions

This October 26 update adds the product assistant disclosure and corrects payment descriptions. It does not expand the mental-game authorization identified as mindset-ai-2026-10-12, permit direct child accounts, authorize athlete data for advertising, or activate the video-analysis service. Adult practice and product-assistance tools, optional mental-game tools, and recording/statistics have different inputs and permissions.
